What we are looking for

Timotay Group are looking to appoint an experienced administrator to support our core business functions.

Primarily, we are looking to recruit a dynamic and enthusiastic office coordinator to align with our company values, who has a desire to succeed and thrive within our team.

 About the Office Coordinator Role

In this busy and versatile role, you will be working closely with all departments. You will be a key and integral member of our team, supporting our business functions.

  • Operating as the first point of contact for the business. Screening phone calls, enquiries, and requests, handling them when appropriate and routing them to the correct party as necessary.
  • General office administration and support
  • Assist colleagues with booking accommodation for our site teams
  • Assisting with the onboarding process, which includes assisting with the management of applications, arranging interviews, issuing onboarding documentation, instigating the induction process
  • Coordinate core business support systems, such as insurance and mobile phone renewals by supporting the appropriate head of department or director
  • Liaising with our IT Support Provider and Telecoms provider, and coordinating the IT set up of new laptops, desktops and mobile phone apps for all new starters with overall ownership for IT asset management log. When necessary to manage issues and facilitate necessary upgrades, ensuring everyone has the tools they need.
  • Liaise with our HR and H&S support providers, and assist with administration relating to the providers
  • Set up of new starters and carrying out company induction for new starters, and general maintenance of the staff files.
  • Responsible for the general day to day coordination of the office facilities from monitoring the post and deliveries through to ordering office supplies, ensuring cleaning supplies and office procedure support
  • Assist with outgoing postal requirements from colleagues (eg. Posting out letters, catalogues)
  • Supporting each Head of Department with adhoc tasks

You will have a versatile skillset, including the ability to implement new processes and procedures, as well as having great IT ability. Attention to detail is critical as is the ability to build rapport quickly and easily. You must be a team player, have a helpful and supportive approach and be happy to support all business functions and heads of departments.
